WEDDING PLANNING

Our Free Wedding Budget Calculator — A Step-by-Step Guide

By Gilded Invite Team · October 2026 · 6 min read

Quick answer: Use Gilded Invite’s free wedding budget calculator to enter your total budget and guest count, choose a currency label, adjust 12 category percentages and track spending. The charts compare planned amounts with spending, while your entries save in this browser on this device. Start with your own figures and keep allocations at 100%.

A wedding budget should make your choices clearer, not take the joy out of planning. Our free wedding budget calculator brings your category breakdown, spending and remaining budget together in one visual planner. No account, no spreadsheet setup: start with a total you can comfortably afford.

The screenshots below show an illustrative €30,000 budget for 100 guests, with €13,000 entered as spent. These are example figures, not a recommendation for what your wedding should cost.

How to Use the Wedding Budget Calculator

1. Enter your total budget and guest count

Type your total into “Total budget” or use the slider. Add your guest count and choose EUR, GBP or USD. The summary shows your total budget, cost per guest, spending so far and remaining amount.

Cost per guest = total budget ÷ guest count. In our example, €30,000 ÷ 100 = €300 per guest. This spreads the entire budget across your guest list; it is not the catering price per person. Changing guest count changes this summary, but does not automatically reduce your total budget or category allocations.

Start with your own figures. The four summaries update as you change your plan.

2. Make the category breakdown your own

The calculator includes 12 categories: venue and catering; photography and video; attire and beauty; flowers and décor; music and entertainment; planner or coordinator; invitations and stationery; rings; transport; cake and desserts; favours and gifts; and a buffer for unexpected costs.

Category budget = total budget × category percentage ÷ 100. The starting 45% allocation for venue and catering gives €13,500 from a €30,000 total. Photography and video at 12% gives €3,600. These are planning allowances, not estimates of what a supplier will charge.

Move each category’s slider to match your priorities and actual quotes. If you increase photography, reduce another allocation so the total returns to 100%. Percentages do not rebalance automatically: watch “Allocated” above the category rows. The default buffer is 3%; change it if you want a larger reserve, and reduce other categories accordingly.

Adjust the split rather than accepting a one-size-fits-all budget. Keep the total allocation at 100%.

3. Record what you have actually spent

Add payments to the “Spent” field beside the relevant category. After paying a deposit and then a final balance, enter their combined total so you do not double-count. The calculator updates “Spent so far” and “Remaining”; a category’s spending field is highlighted when it exceeds a positive planned allowance.

In this example, venue payments of €10,000 plus photography payments of €3,000 equal €13,000 spent. Remaining = €30,000 − €13,000 = €17,000. That remaining figure is not necessarily spare money: it may need to cover supplier balances and costs you have not entered yet. Keep those commitments in a separate record.

4. Compare the charts before your next booking

The ring chart shows how your planned budget is distributed. The “Planned vs spent” bars compare each category’s allowance with the spending you entered. Hover over a chart segment or bar to inspect its amount on a computer; the category rows also keep the figures readable without relying on charts.

Frequently Asked Questions

Is the Gilded Invite wedding budget calculator free?

Yes. You can use the calculator without paying or creating an account. Enter your budget and guest count, adjust category percentages, and record spending.

Does changing currency convert my wedding budget?

No. EUR, GBP and USD change the currency symbol, not the amounts. Enter all your costs in one currency; convert any overseas quotes separately before adding them.

Are the category amounts estimates of local wedding prices?

No. Each amount is your total budget multiplied by that category’s percentage. The starting percentages are editable planning defaults, not vendor quotes or researched local averages.

Will my wedding budget be saved?

Entries save in this browser on this device when browser storage is available. They do not sync to another device or an account. Clearing browser data can remove the plan; keep a separate record of important figures.

Does Reset clear everything?

Reset restores the original category percentages and clears the spent amounts. It keeps your total budget, guest count and chosen currency.

Can the calculator track unpaid supplier balances?

It tracks the spending you enter, not contracts, due dates or unpaid balances. Keep a separate list of what you still owe and compare that with the remaining amount before making new bookings.
